JOBS: Receptionist at Peoplelink Consultants Ltd

Our client, a pharmaceutical firm in Nairobi is looking for a Receptionist.

Qualifications & skills

  1. Degree or diploma from a recognized university on a receptionist-related course.
  2. Minimum of 1 year of proven work experience as a Receptionist, Front Office Representative, or similar role
  3. Should have knowledge of how to work with a switchboard operator.
  4. Proficiency in Microsoft Office Suite
  5. Hands-on experience with office equipment (e.g. fax machines and printers)
  6. Professional attitude and appearance with an excellent customer service attitude
  7. Solid written and verbal communication skills
  8. Ability to be resourceful and proactive when issues arise
  9. Excellent organizational skills
  10. Multitasking and time-management skills, with the ability to prioritize tasks

Duties and responsibilities

  1. Greet and welcome guests as soon as they arrive at the office.
  2. Direct visitors to the appropriate person and office.
  3. The answer, screen, and forward incoming phone calls.
  4. Ensure the reception area is tidy and presentable, with all necessary stationery and material.
  5. Provide basic and accurate information in person and via phone/email.
  6. Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
  7. Order front office supplies and keep an inventory of stock.
  8. Update calendars and schedule meetings.
  9. Arrange travel and accommodations, and prepare vouchers.
  10. Keep updated records of office expenses and costs.
  11. Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
